Part-Time Receptionist/Executive Assistant – 12-Month Maternity Cover

Contract Type: 12-month fixed-term maternity cover
Working Days: Monday-Thursday
Salary: Up to £37,000 per annum (DOE) + benefits
An exciting opportunity has arisen for a proactive and versatile Receptionist/Executive Assistant to join a close-knit, friendly team based in Barbican, London. This role is ideal for someone with previous experience in a similar role, who enjoys working in a supportive environment and thrives in a hands-on, busy position. This office-based role covers a 12-month maternity contract, working Monday-Thursday.
About the Role:
As a key member of the team, you’ll handle a variety of tasks from greeting visitors to supporting executive-level responsibilities. This role offers the chance to add real value within a collaborative environment where everyone gets involved.
Duties and Responsibilities:
- Reception Duties: Welcome visitors, manage sign-in/out, answer calls, and maintain a tidy reception area.
- Mail Management: Monitor external mailbox, distribute incoming mail, and handle courier packages.
- Administrative Support: Assist with filing, photocopying, data entry, and other administrative tasks.
- Office Supply Management: Manage office supplies, including stationery, snacks, beverages, and cleaning products.
- Meeting Room Coordination: Oversee bookings and ensure meeting rooms are equipped and ready.
- Event and Catering Coordination: Collaborate with Executive Assistants to cater for meetings and internal events.
- Social and Fundraising Events: Organise charity lunches, social events, and office celebrations (e.g., birthdays, welcome events).
- EA Support: Assist with diary management, travel arrangements, expenses, and meeting administration as needed.
Person Specification:
- Previous experience in a receptionist role with EA-related responsibilities.
- Strong communication, interpersonal, and organisational skills.
- Proficiency in Microsoft Office Suite.
- Ability to multitask, maintain confidentiality, and handle sensitive information with discretion.
- Flexibility in working hours (typically 8:30 am - 5:30 pm) as needed.
