Position: Part-Time Secretary (Temporary, Potential to Become Permanent)

A brilliant opportunity has arisen for a Part-Time Secretary to join a friendly not-for-profit organisation based in Middleton on a temporary basis, with the potential to become permanent for the right person. The ideal candidate will be personable, professional, and discreet, with experience handling confidential information. This role is perfect for someone with previous secretarial and PA experience who is looking for a flexible, rewarding position.
Key Responsibilities:
- Answer phone calls and redirect them as necessary.
- Manage the daily/weekly/monthly agenda, arranging new meetings and appointments both in person and via Zoom.
- Oversee the Leadership Team’s diary and coordinate schedules.
- Take Trustee meeting minutes monthly, with dates provided well in advance.
- Minute taking for Finance & General Purpose meetings once a quarter.
- Prepare and distribute correspondence, memos, and forms.
- Maintain and update contact information for staff, suppliers, and external partners.
- Support the completion of regular reports and ensure they are filed appropriately.
- Develop and maintain a filing system to keep the office organised.
- Monitor office supplies and place appropriate orders when necessary.
- Manage correspondence and oversee the charity’s GDPR compliance.
- Make travel arrangements as needed.
- Update the website via WordPress and manage content distribution.
- Produce and distribute weekly newsletters to the community and respond to related emails.
Person Specification:
- Proven experience as a Secretary or Administrative Assistant.
- Strong organisational skills with a focus on office optimisation and workflow efficiency.
- Excellent time management and multitasking abilities.
- Outstanding written and verbal communication skills.
- High level of integrity and professionalism.
- Proficiency in MS Office, including Publisher.
- Willingness to travel as part of the role.
This is a fantastic opportunity to join a warm, community-focused team in a rewarding role. The hourly rate is up to £13 per hour, depending on experience. If the role becomes permanent, the salary will be up to £27,000 FTE (pro-rata) based on the number of hours worked.
