Team Secretary (12-Month Maternity Cover)
Location: Manchester City Centre (Full-Time, Hybrid after Training)
Salary: Up to £32,000 per annum (DOE) plus benefits

A brilliant opportunity has arisen for a friendly and professional Team Secretary to join a reputable financial services organisation on a 12-month contract covering maternity leave.

The role is based out of the Manchester city centre office and will be full-time office-based, with the potential for one day per week working from home upon completion of handover/training.

This varied and busy position involves providing secretarial support to a busy team, covering a wide range of administrative tasks. You will join a close-knit team and work with individuals at varying levels of seniority.

 

Key Responsibilities:

  • Managing team members’ diaries using Microsoft Outlook.
  • Arranging effective and accurate travel schedules.
  • Producing accurate correspondence and preparing PowerPoint presentations aligned with branding.
  • Organising and coordinating internal and external lunches/meetings.
  • Preparing new client documentation, ensuring compliance with regulatory guidelines.
  • Handling invoicing and processing expenses.
  • Answering incoming telephone queries.
  • Maintaining the filing system, including electronic filing, client filing, and archiving.
  • Monitoring inboxes and dealing with urgent matters appropriately.
  • Printing and binding presentations.
  • Updating and maintaining the CRM system.
  • Reception duties, such as welcoming visitors, assisting contractors, and setting up meetings.
  • Organising and attending client entertainment events when required.
  • Supporting any other reasonable duties as requested by the company.

Person Specification:

  • Strong Microsoft Office skills, particularly PowerPoint.
  • Ability to produce accurate documents with excellent attention to detail in a timely manner.
  • Strong interpersonal skills to build effective relationships between individuals and teams.
  • Clear communication skills and strong client-handling abilities.
  • Flexibility to accommodate early/late working as required.
  • Proactive attitude with the ability to overcome setbacks and deliver results.
