PA/Team Assistant – Global Brokerage Firm – City of London (1-Year Fixed-Term Contract)

Our client, a highly regarded global brokerage firm based in the City of London, is seeking an experienced PA/Team Assistant for a 1-year Fixed-Term Contract. This role is ideal for a proactive and professional Team Assistant with at least 3 years of relevant experience, ideally within financial or professional services.

Supporting a busy and demanding team, this position offers plenty of scope for additional involvement and responsibility. You’ll manage changing schedules, coordinate global travel, produce detailed itineraries, handle expenses, and oversee event coordination. Working collaboratively with a wider support team, you’ll play a key role in ensuring the smooth running of the office.

Key Responsibilities:

  • Managing complex and changeable calendars, scheduling internal/external meetings across time zones.
  • Day-to-day diary management for the Global Head of Principal Investments and Senior Portfolio Managers.
  • Organising domestic and international travel, including accommodation and processing visa requests.
  • Handling administrative tasks such as expense reporting via Concur, invoice processing, and creating PowerPoint presentations.
  • Collaborating with global Team Assistants to ensure seamless support.
  • Supporting reception calls during lunch breaks, holidays, or as needed.
  • Coordinating office activities, including lunches, socials, and general office-related admin projects.

Essential Skills & Experience:

  • Proven experience as a Team Assistant/PA, preferably in the financial services sector.
  • Exceptional attention to detail, with the ability to manage a fast-paced and varied workload.
  • Proficiency in MS Office and Outlook, with strong general office administration skills.
  • Excellent communication and interpersonal skills, comfortable working with all levels of management.
  • A proactive, flexible, and solutions-oriented approach to work.
  • Ability to coordinate across different time zones and handle multiple priorities.
  • Self-motivated and capable of working independently while collaborating effectively within a team.

Hours: 8:00 am – 6:00 pm (hybrid working with at least one day from home).

Salary: £45,000 - £50,000 per annum, plus bonus.
