Team Assistant – Investment Firm (Temporary, 3-Month Contract)
Location: City of London (Office-based with one day working from home)
Contract Duration: 3 months, with potential for extension
Hourly Rate: £25 per hour plus holiday pay

An urgent opening has arisen for an experienced Team Assistant to join a City-based investment firm on a temporary basis. This is a fantastic three-month assignment (with the potential for extension) in a visible and varied role, primarily supporting senior asset and fund managers to ensure smooth day-to-day operations and administration.

About the Role:
This is a busy and dynamic role within a supportive team environment. The successful candidate will provide essential support to senior team members, handling everything from diary management to project support. The position is ideal for someone with strong multitasking skills who thrives in a fast-paced, corporate setting.

Key Responsibilities:

  • Diary Management: Schedule meetings, organise logistics, and manage conference calls, room bookings, and refreshments.
  • Travel Coordination: Plan and organise travel arrangements, obtaining appropriate authorisation.
  • First Point of Contact: Manage internal and external queries professionally and efficiently.
  • Team Collaboration: Work closely with internal teams to ensure timely completion of internal processes.
  • Expense Management: Input and reconcile team expenses using Concur.
  • Database Management: Update and maintain relevant databases and systems, including record-keeping and filing.
  • Document Preparation: Prepare PowerPoint presentations and Word documents in report format.
  • Relationship Building: Develop strong networks and relationships with internal and external stakeholders.
  • Team Support: Provide absence cover and assist colleagues as part of the support team.
  • Committee Administration: Assist with the administration of Investment Committee papers.
  • Ad Hoc Project Work: Undertake project work as required.

Skills and Experience:

  • Proven experience in a team support role, ideally within a corporate or financial services environment.
  • Exceptional administrative and organisational skills with the ability to anticipate stakeholder needs.
  • Professional communication skills, with confidence interacting with colleagues and stakeholders at all levels.
  • Detail-oriented with strong multitasking and prioritisation abilities.
  • Ability to work both autonomously and as part of a team, demonstrating flexibility and a helpful attitude.
  • Proficiency in Microsoft Office Suite and experience with Concur is advantageous.
