Team Assistant required by a global City-based investment business, known for its collaborative, welcoming, and professional working environment. Working closely with your team, including an MD, a Director, and 3 Associates, who directly engage with clients, your role will be integral to the smooth running of the team and their business activities.

 

Responsibilities

  • Liaising with clients, external companies, internal teams, and other offices.
  • Diary management, including organising meetings, conference calls, client dinners, and entertainment.
  • Producing diary reports for the team.
  • Booking meeting rooms internally and externally.
  • Recording compliance for gifts, events, and other activities.
  • Processing expenses.
  • Handling telephone calls professionally.
  • Arranging travel, including preparing itineraries, booking hotels and flights, and managing currency requirements.
  • Organising regular meetings to review prospect lists and ensure follow-up actions are completed.
  • Maintaining and updating the company CRM with meeting details.
  • Proactively generating team client event and gift ideas, liaising with Events & Marketing teams, and managing all related communication and logistics.
  • Organising team-building and socialising events.
  • Greeting guests from reception.
  • Collecting post and parcels.
  • Sending letters and gifts to clients.
  • Assisting with the onboarding of new team members.
  • Undertaking ad-hoc projects as required.

  • Strong organisational skills with the ability to multi-task and maintain exceptional attention to detail under pressure.
  • Excellent interpersonal skills, able to communicate clearly and effectively at all levels.
  • Ability to anticipate and resolve issues in advance, such as managing conflicting meetings or delays.
