Team Assistant
Location: City of London (Full-Time, Permanent)
Salary: Up to £34,000 per annum plus benefits and discretionary bonus

A fantastic opportunity has arisen for a Team Assistant to join a global City-based investment business known for its collaborative, welcoming, and professional working environment. Supporting a large team of junior bankers, you will also work closely with the other PAs within the division as required.

Key Responsibilities

Administration:

  • Submitting pipelines, monitoring share prices, updating team diaries, and tracking team absences (holiday/sick/maternity/paternity).
  • Coordinating lists of parties, completing insider lists, and updating client contacts.
  • Assisting with arranging closing dinners and other client/internal events.
  • Liaising with accounts to collate information for client invoices.
  • Printing, scanning, and organising documents using the Document Procurement Centre (DPC).
  • Ordering business cards, assisting with tombstones, and organising couriers.
  • Maintaining office supplies, including stationery and printers.

Meeting Coordination:

  • Organising internal and client meetings and calls, liaising with other secretaries as needed.
  • Managing potential meeting conflicts, including accommodating differing time zones.
  • Booking meeting rooms, catering, external venues, and equipment.

Travel:

  • Organising international and domestic travel using the in-house travel provider.
  • Arranging itineraries, visas, airport transfers, and hotels.

Expenses:

  • Collating and processing expenses using Concur.

Communication:

  • Ensuring calls and oral communications are appropriately recorded and promptly dealt with.
  • Liaising with clients, external companies, other teams, and global offices.

Teamwork:

  • Collaborating with other secretaries in the team and across the division, providing cover and assistance as needed.

Skills Required

  • Strong knowledge of Outlook, Microsoft Word, Excel, and PowerPoint.
  • Excellent communication skills.
  • Proactive attitude with the ability to demonstrate initiative, attention to detail, and reliability.
  • Self-motivated and flexible with a positive attitude.
  • Good judgment and common sense.
  • Strong team player.
