Location: City of London (Hybrid)
Salary: Up to £40,000 per annum (DOE) plus an excellent benefits package

 

A fantastic opportunity has arisen for a Float Team Assistant to join a leading professional services firm based in the heart of the City on a permanent, full-time basis.

This global law firm boasts a fantastic culture, making this a unique opportunity to work across various departments, gaining valuable experience and collaborating with Partners and fee earners across the business.

This role is perfect for someone with administrative experience within a professional services environment (ideally legal) who is adaptable, proactive, and highly organised.

 

Key Responsibilities:

  • Managing diaries and scheduling meetings for Partners and fee earners.
  • Proactively managing Partners’ inboxes when required to ensure timely responses to queries.
  • Handling external and internal calls, ensuring accurate messages are taken and relayed.
  • Reviewing documentation produced by the Document Production team.
  • Printing, photocopying, scanning, filing, and collating outgoing post daily.
  • Assisting lawyers with billing and payment requests.
  • Preparing and submitting expense claims.
  • Supporting lawyers with file opening and closing processes.
  • Responding to client queries and handling general administrative tasks.
  • Arranging handover meetings at the start and end of cover periods.
  • Providing occasional Front of House (FOH) cover.
  • Undertaking any other duties as reasonably requested by line managers or lawyers.

Person Specification:

  • Previous experience in an administrative role within a professional services environment (legal experience preferred).
  • Strong IT skills, particularly in Word and Excel.
  • Excellent written and verbal communication skills.
  • Highly organised and methodical, with the ability to manage multiple priorities effectively.
  • Exceptional accuracy and attention to detail.
  • A flexible and adaptable approach to changing requirements and schedules.
  • Strong interpersonal skills, with the ability to work effectively across a range of personalities and working styles.
  • Proactive, with a “can-do” attitude and a willingness to take initiative.
  • The ability to maintain confidentiality with sensitive information.
