Job Title: Team Assistant / Secretary | City Investment Management Business | Salary: £35,000 - £40,000 (DOE)
A fantastic opportunity has arisen for an experienced Team Assistant / Secretary to join a reputable City Investment Management business. This role is ideal for someone with around 2 years of financial services experience in client administration or legal experience with an interest in private fund management. The business is open to applicants looking for either full-time or part-time work (4 days a week).
This busy and varied role will involve daily dictation and typing, so accuracy is key.
Responsibilities:
- Assist with the new client account opening process
- Draft client reports and correspondence accompanying valuations, dealing letters, or Investment Manager recommendations, and respond to ad hoc client requests/queries
- Typing and filing, ensuring all documentation is accurate and up to date
- Proofread and check documents for clarity and correctness
- Maintain filing systems, regularly update information, and ensure the internal CRM system is kept current
- Conduct annual file reviews to check filing systems
- Proactively identify efficiencies and potential process improvements
- Complete SharePoint forms for Investment Manager approval
- Prepare payment, receipt, transfer, and other forms for Investment Manager approval
- Assist in resolving administrative queries promptly
- Take telephone messages and relay them to the Investment Manager
- Ensure client background and suitability reports are kept up to date
- Provide desk administration cover during periods of high volume, illness, or other absences
- Perform any other ad hoc team administration as required
Skills and Experience Required:
- Excellent written and verbal communication skills
- Ability to develop and maintain excellent internal and external relationships
- Strong customer-facing skills
- Analytical and numerate with a keen attention to detail
- Highly organised with the ability to multitask and prioritise effectively
- Computer literate and an advanced user of Microsoft Excel, Outlook, and Word
- GCSE (or equivalent) English (grade C or above)
