Team Assistant
Location: London
Salary: £30,000 - £35,000 plus an excellent benefits package
A global investment management firm is hiring a Team Assistant to execute a myriad of administrative tasks, supporting across multiple teams in the London office. Reporting to the EA to the CEO, you will provide cover to the Executive Committee support team, Investor Relations & Investment teams, Front of House, and Facilities.
The role is fast-paced, varied, and dynamic – perfectly suited to a proactive individual with lots of initiative and team spirit. If you’re looking to quickly learn and gain valuable experience, there is huge scope for further development within the firm.
Duties will include:
- Assist in the preparation and distribution of investor communications, reports, and presentations, including printing, binding, and distributing.
- Track and reconcile expenses, prepare expense reports, and ensure adherence to company policies.
- Provide additional support to the team in arranging travel itineraries, including flights, accommodation, ground transportation, and visa arrangements.
- Provide hands-on support for internal meetings, external events, investor conferences, and roadshows as directed.
- Work closely with the Office Manager/IT/Facilities, assisting with administrative tasks to ensure the smooth functioning of the London office.
- Provide lunchtime reception cover during periods of absence and holidays, with a willingness to sit on the front desk at times for cover.
- Organise and manage post, courier deliveries, and pick-ups.
- Assist with special projects and tasks as assigned, demonstrating flexibility and adaptability and a willingness to help, no matter how small the request.
- Assist the team in updating investor databases and contact lists to ensure details and preferences are accurately recorded.
- Assist with hard copy and electronic filing.
- Manage and respond to general queries in a professional, polite, and efficient manner.
- Provide general administration and ad hoc support for Executives visiting the London office.
Skills and experience:
- 12 – 18 months experience in a corporate office environment.
- Related Administration, Business, or Secretarial qualifications advantageous.
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Highly organised with exceptional attention to detail and the ability to handle multiple tasks simultaneously.
- Excellent interpersonal skills and the ability to build relationships at all levels of the organisation.
- A professional demeanour, demonstrating integrity, professionalism, and a strong work ethic.
- Ability to work collaboratively in a fast-paced, team-oriented environment.
- A team player with the initiative to work independently when needed.
