Team Assistant – Private Equity Firm
Location: West End, London
Salary: Circa £55,000 plus excellent benefits
Contract: Permanent
A brilliant opportunity has arisen for a Team Assistant to join a dynamic, fast-growing, West End-based private equity firm. You will provide support to a small team of 6-8 investment professionals across various levels, including Directors, Managers, Associates, and Analysts. This role is an ideal next step for an individual with 3+ years of relevant experience who is ambitious to build and further develop their business support career.
This newly created role will see you providing high-level administrative support to deal team investment professionals, working alongside a fantastic, collaborative team of EAs/PAs.
Main Duties and Responsibilities:
- Comprehensive diary management, including calls, meetings, travel arrangements, document preparation, and supporting pack preparation.
- Proactively review daily agendas, printing out related documents or liaising with relevant stakeholders as required.
- Organise meetings related to business origination, portfolio management, and IR roadshows—both domestic and international.
- Collate and edit presentations, including confidential and highly sensitive materials, and arrange for advance printing and binding.
- Provide ad-hoc support with team expenses.
- Monitor stationery cupboard supply and liaise with reception for stock replenishment.
- Maintain office tidiness, including shredding or disposal of unclaimed printed documents.
- Take meeting minutes for EA & TA bi-weekly team calls and circulate them to the team.
- Order team business cards.
- Coordinate international travel movements, including managing passports, visas, and travel itineraries.
- Administer CRM platforms, Admin Control, and organise the SharePoint drive in partnership with other teams.
- Provide holiday and sick leave cover for the team admin team when required.
- Temporarily manage new joiners in the investment team before their permanent allocation.
- Lead the onboarding scheduling process with the support of EAs and ensure onboarding documents are kept up to date.
Key Competencies and Attributes:
- 3+ years of administration and executive support experience.
- Discreet, composed, and confident in dealings with internal and external parties.
- Proven ability to multi-task under pressure, maintaining existing activities while delivering to shifting deadlines.
- Process-driven, with excellent time management skills.
- Excellent written and verbal communication skills.
- Thrives in a hands-on, collaborative environment.
- Creative problem solver with enthusiasm.
