We are delighted to be recruiting a Virtual Executive Assistant to provide high-level remote support to three members of the Senior Management Team (SMT) within an Edinburgh-based organisation. This opportunity is ideal for an experienced self-employed Virtual Assistant who has capacity to take on a new client for 1.5 days per week, working remotely during standard office hours.
Virtual Executive Assistant (Self-Employed) – Senior Management Team
Remote | 1.5 Days per Week | Standard Office Hours | Hourly Rate £25 per hour
This is a key role that ensures the SMT can focus on strategic objectives while you manage their diaries, coordinate meetings, liaise with stakeholders, and handle administrative tasks from a virtual set-up.
Please note: This position is offered on a freelance, self-employed basis. You must already be set up to operate as a Virtual Assistant with the ability to commit regular availability, on an ongoing basis.
Key Responsibilities:

Act as a gatekeeper for three SMT members, ensuring smooth and professional communication

Liaise with internal and external stakeholders on behalf of the Senior Managers

Draft, proofread, and edit documents and correspondence

Remotely manage complex diaries and coordinate meetings, ensuring all parties are well-prepared

Lead the coordination and agenda for the weekly Edinburgh office meeting (virtual attendance)

Arrange national and international travel, including flights, accommodation, and visa logistics

Maintain document records, submit expenses using Accounts IQ, and prepare materials for meetings and reports

Manage all sensitive information with confidentiality and discretion
What We’re Looking For:

Experienced Virtual Assistant or Executive Assistant with a strong track record of remote support

Set up as a self-employed service provider with availability for 1.5 days per week

Exceptional organisational and communication skills

High level of professionalism and ability to work autonomously

Proficient with Microsoft Office and confident using internal systems and travel booking platforms
